Privacy policy
What we collect when you use this website or contact us, why we collect it, who we share it with and your rights.
Who we are
This website is run by Ventaro Ltd, registered office 1 Massam Close, Rainford, St Helens, Merseyside WA11 8BP. In this policy, "we", "us" and "our" mean Ventaro Ltd. We are the controller of the personal information described here.
If you have a question about this policy or your information, email info@ventaro.ai or write to us at our registered office.
What we collect and why
- Contact form: your name, work email, and anything else you choose to give us, such as your company, phone number, team size, the topics you're interested in, your message and how you'd like us to reply. We use it to answer your enquiry. Our lawful basis is our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.
- AI Readiness Check: your answers, your result, your name, email and company. We use it to show you your result, follow up on it and, if you ask, send you practical AI tips. Our lawful basis is legitimate interests for the follow up and consent for the tips.
- Newsletter: your email address, so we can send you one practical AI idea every fortnight. Our lawful basis is your consent, and you can unsubscribe at any time using the link in every email or by emailing us.
- Emails and calls: if you email or phone us, we keep a record of the conversation so we can help you. Our lawful basis is legitimate interests.
- Website analytics: if you accept analytics cookies, Google Analytics records how you use the site, such as pages viewed, approximate location, device and how you arrived. IP addresses are anonymised. Our lawful basis is your consent, given through the cookie banner.
- Client work: if you become a client, we process the information needed to deliver our services under our contract with you and a separate data processing agreement covering any data you share with us.
Who we share it with
We don't sell your personal information. We share it only with the service providers that help us run the website and the business, under contracts that require them to protect it:
- Netlify, which hosts this website and stores form submissions.
- Google, which provides Google Analytics (only if you accept analytics cookies).
- Our email providers, including the service that forwards email sent to ventaro.ai addresses.
- Professional advisers such as our accountants and lawyers, when needed.
We may also share information if the law requires it, or to protect our rights.
International transfers
Some of these providers store or process data outside the UK, including in the United States. When that happens, we rely on safeguards recognised under UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework (the UK-US data bridge) for certified providers, or the International Data Transfer Addendum to standard contractual clauses.
AI and your information
We don't use the personal information you send through this website to train AI models. If we use AI tools to help us draft replies or prepare for a call, we use business accounts that don't train on your data, and a person checks anything we send you.
How long we keep it
- Enquiries and readiness check results: up to two years after our last contact, unless you become a client.
- Newsletter: until you unsubscribe.
- Client records: for as long as we work together and then for up to six years, to meet legal, tax and accounting obligations.
- Analytics data: no longer than 14 months in Google Analytics.
Your rights
Under UK data protection law you have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to have it transferred to you or someone else, and to withdraw consent at any time. To use any of these rights, email info@ventaro.ai. We'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping it safe
We use reputable providers, encrypted connections, strong passwords and two-factor sign-in, and we limit access to the people who need it.
Changes to this policy
We'll update this page if anything changes, and show the date it was last updated at the top.
