Shopify integrations and automation that keep your store and systems in sync

We connect your Shopify store to the systems behind it: Xero, your 3PL or warehouse system, Klaviyo, your CRM, marketplaces and stock. We use Shopify Flow, Make, Zapier, n8n or a custom app, then add AI for order exceptions, product data and customer service, with a person approving anything that reaches a customer.

What are Shopify integrations?

Shopify integrations connect your Shopify store to the other systems your business runs on, so data moves between them automatically. Orders go to the warehouse, stock levels come back, sales and payouts land in your accounting software, and customer data reaches your email platform and CRM. Without them, someone on your team is copying data between systems by hand.

Shopify is built to connect. The Shopify App Store has apps for almost every job, and Shopify's APIs let other platforms read and write orders, products, inventory and customers. The challenge for most ecommerce brands isn't finding an app. It's choosing the right ones, setting them up so data flows cleanly, and filling the gaps no app covers.

This page is about connecting and automating an existing store. If you need a new store or a redesign, our Shopify web design service covers that.

Why integrate Shopify with your other systems: operations, cash flow and growth

Every ecommerce business hits the same point. Orders are growing, but the operations behind them are still held together by spreadsheets, exports and manual data entry. Stock is updated manually, sales are typed into the accounting software, and nobody is quite sure which system is right.

Integrating Shopify fixes that. It improves operational efficiency, because people stop copying data between tools. It improves accuracy, because each number is entered once. It gives you a clear view of business performance and cash flow, because sales, stock and finance data sync into one picture. And it supports long term growth, because a connected business can scale without hiring someone just to move data around.

Shopify automation: Flow, Make, Zapier, n8n and custom apps

There's more than one way to integrate Shopify, and the right one depends on how much data moves, how often and how much can go wrong. We often combine them.

Shopify Flow

Shopify Flow is Shopify's own free automation app. You build workflows from a trigger, conditions and actions, such as tagging high-value orders, holding risky ones or alerting the team when inventory runs low. Some actions, such as sending data to an outside system, depend on your Shopify plan, so we check yours first.

Make, Zapier and n8n

When data needs to move between Shopify and other tools, an integration platform such as Make, Zapier or n8n is often the quickest route. They suit lighter data flows and let us add steps, error handling and alerts without a large build.

Native integrations and custom apps

Where a native integration exists, such as Xero's own Shopify integration or a 3PL's Shopify app, we usually start there. Where the volume is high or the logic is specific to your business, we build a small custom app. Larger businesses sometimes use iPaaS platforms for the same job; we can work with those too.

04 / 12

The Shopify integrations we set up most often

Most Shopify stores need the same core connections. Here's how we approach each one.

Shopify Xero integration and accounting software

Xero accounting software is a common choice for UK ecommerce businesses, and Xero has its own Shopify integration, built by Xero and free on all Xero plans. To connect Xero, you sign in to both accounts and approve access. It then brings in Shopify sales and matches Shopify Payments payouts to your bank account, which suits many stores. We set it up, map tax rates and accounts, and connect what it doesn't cover, such as marketplace sales, other payment providers or a stock system. Our Xero integration page goes deeper on the accounting software side, including invoice processing and reconciliation.

When you connect Xero to Shopify properly, your financial data stays up to date, cash flow is easy to see and month end is quicker. No more manual data entry of daily sales totals.

Shopify 3PL integration and warehouse systems

If a third party logistics provider handles your fulfilment, orders need to reach their warehouse system quickly and accurately, and stock and tracking need to come back. Many 3PLs use warehouse management systems such as Mintsoft, which connects to Shopify. We set up the connection, test it with real orders and add checks for the cases that break: split shipments, out-of-stock lines, address problems and returns.

Third party logistics works best when the WMS systems and your Shopify store agree on inventory all the time. We make sure order data reaches the warehouse quickly, stock levels sync back often enough to stop overselling, and order management issues, such as a held order or a missing item, reach a person straight away rather than at the end of the week. That keeps your supply chain and your customers happy.

Shopify ERP integration and inventory management

As you scale, an ERP system such as Microsoft Dynamics 365 Business Central, Sage or NetSuite often becomes the one system that holds products, price lists, purchase orders and stock. A Shopify ERP integration keeps that data in step with your store, so nothing is updated manually and your inventory management is accurate across sales channels. We help you choose a connector or build one, and plan the data mapping before anything goes live.

ERP integration is common for ecommerce businesses that also sell wholesale or do some manufacturing, especially those with large catalogues or several warehouses. The ERP becomes the source of inventory, pricing and purchase orders, and Shopify becomes one of your sales channels. A good ERP sync sends order data to the ERP, brings stock and price lists back, and handles errors clearly. ERP implementation is usually the bigger project, so the Shopify side should be planned alongside it, not bolted on afterwards.

Klaviyo, CRM and marketing

Klaviyo connects natively to Shopify, but the value is in what you send it: clean customer data, product data and order events. We also connect Shopify to CRMs such as HubSpot for wholesale or B2B customers, so your sales team sees orders alongside conversations.

Marketplaces and stock systems

Selling on Amazon, eBay or other marketplaces as well as Shopify means one stock pool across several sales channels. We connect them to a single source of stock so you don't oversell, and so each sale reaches your accounting and warehouse systems.

Where AI fits into Shopify integrations

Integrations move data. AI handles the jobs that need someone to read and decide, which is where most of the manual work in an online store still sits.

  • Order exceptions: AI reviews orders that fail a check, such as a mismatch between Shopify and the warehouse, and drafts the fix for a person to approve.
  • Product data: AI tidies titles, descriptions, tags and attributes so the data is consistent across Shopify, your ERP and marketplaces.
  • Customer service: AI drafts replies to common emails, such as where an order is, using live order and tracking data. A person approves before anything is sent.
  • Finance checks: AI flags payouts, refunds or fees that don't match, so reconciliation in Xero is quicker.
  • Reporting: one weekly view of business performance across sales, stock and cash flow.
06 / 12

AI plus experienced people plus your data

AI alone can't be trusted to run your orders. People alone are slow at checking hundreds of them. Your data alone isn't joined up. Together, they work: AI checks every order and product, experienced people design the data flows and approve anything that reaches a customer, supplier or bank, and your own orders, stock and prices keep every system telling the same story.

How a Shopify integration project works

We keep projects small, so you see results quickly and only go further if it's working.

1. Map your store and systems

We look at your Shopify store, apps and the systems around it, and find where data is copied by hand, where orders get stuck and where stock goes wrong. The 1 Day Business Analysis, £995, is a good way to do this properly.

2. Connect and test

We set up native integrations first, then Shopify Flow, Make, Zapier, n8n or a custom app where needed. Everything is tested on a development store or with test orders before it touches live customers.

3. Add AI for the exceptions

Once the data flows cleanly, we add AI for order exceptions, product data and customer service. A pilot runs from £1,500 over 2 to 4 weeks.

4. Monitor and support

Apps and APIs change, so integrations need watching. Monthly support from £750 a month covers monitoring, fixes and small improvements, and you can stop at the end of any month.

08 / 12

Choosing the right Shopify integrations

A few questions help you avoid a tangle of apps and high maintenance costs:

  • Is there a native integration? Start there before paying for another app.
  • Does it sync in real time or on a schedule? Stock usually needs to be quick; accounting can wait.
  • What happens when it fails? Good error handling alerts a person instead of failing quietly.
  • What's the total cost? Count app fees, setup and the time spent fixing problems, not just the monthly price.
  • Will it scale? Check it copes with your busiest week, not just an average day.
09 / 12

Pricing for Shopify integration work

Our pricing is simple. A 1 Day Business Analysis costs £995 and maps your systems and the best integrations to build first. A pilot runs from £1,500 over 2 to 4 weeks. Monthly support starts from £750 a month, and you can stop at the end of any month.

App and platform pricing is set by each provider and changes often, so we check the current pricing with you and include it in the total cost before any implementation starts.

10 / 12

Working with your team and integration partners

You don't need technical expertise in-house. We handle the project management, the testing and the documentation, and we're happy to work with your web agency, 3PL, accountant and other integration partners so everyone knows which system does what. If you sell in more than one country or through wholesale tools, we plan those workflows and sync rules too.

11 / 12

Data safety

Your customer data matters. We follow UK GDPR, sign a data processing agreement before we see any data, and give each app the least access it needs. Payment details stay with Shopify and your payment provider.

FAQ

Common questions

Do you build Shopify stores too?

Yes, but this page is about integrations and automation. If you need a new store or a redesign, see our Shopify web design service.

Can you work with our existing apps?

Yes. We start with the apps you already pay for, keep the ones that work and only replace or add where there's a real gap.

Who owns the integrations?

You do. Everything runs under your own Shopify, Xero and app accounts, and we document each connection.

What can Shopify integrate with?

Shopify can integrate with accounting software such as Xero and QuickBooks, ERP systems, 3PL and warehouse systems, email platforms such as Klaviyo, CRMs, marketplaces and stock systems, through apps in the Shopify App Store, Shopify Flow, integration platforms or custom apps.

Does Shopify have automation?

Yes. Shopify Flow is Shopify's free automation app, which runs workflows built from triggers, conditions and actions. For automation across other systems, we add tools such as Make, Zapier or n8n.

Does Xero work well with Shopify?

Yes. Xero has its own free Shopify integration that brings in sales and matches Shopify Payments payouts. Stores with marketplaces, several payment providers or a stock system often need more on top.

Does Shopify offer 3PL services?

Shopify is the store platform. Most UK brands that outsource fulfilment use an independent third party logistics provider, and the Shopify App Store lists many 3PL apps. We connect your Shopify store to your chosen 3PL's warehouse system.

What is the best ERP for Shopify?

It depends on your size and how you sell. Microsoft Dynamics 365 Business Central, Sage and NetSuite are common choices. We help you weigh up the options and plan the integration.
